Certified Pro Advisors ("CPA," "we," "us," or "our") operates the Collections Command Center
application. This Privacy Policy explains how we collect, use, and protect your information.
1. Information We Collect
We collect information necessary to provide our collections management services:
- Account Information: Name, email address, and login credentials for app access.
- QuickBooks Online Data: When you connect your QuickBooks Online account, we access
customer names, contact information, accounts receivable aging data, invoice details, and payment
records. This data is accessed in read-only mode and only for customers you
explicitly select for import.
- Usage Data: Activity logs of collections actions taken within the application
(calls made, notes recorded, payments tracked).
2. How We Use Your Information
- To provide and operate our collections management services
- To display accounts receivable data and generate priority call lists
- To track collections activity and generate performance reports
- To sync data between QuickBooks Online and our application at your direction
3. Data Sharing
We do not sell, rent, or share your data with third parties. Your QuickBooks
Online data is used exclusively within the Collections Command Center for collections management
purposes. Data is only accessible to authorized users within your organization based on
role-based access controls.
4. Data Storage & Security
- Data is stored on secure, access-controlled servers.
- QuickBooks Online OAuth tokens are encrypted and stored securely. We never store your
QuickBooks login credentials.
- Access to the application requires authentication with username and password.
- Role-based permissions restrict data access within the application.
5. QuickBooks Online Integration
- We access QuickBooks data only after you explicitly authorize the connection via Intuit's
OAuth 2.0 flow.
- You choose which customers to import — we do not access your entire QuickBooks dataset
automatically.
- You can disconnect QuickBooks at any time from the Settings page, which revokes our access.
- We request only the minimum scopes necessary:
com.intuit.quickbooks.accounting.
6. Data Retention
We retain your data for as long as your account is active. If you disconnect QuickBooks Online
or request account deletion, associated tokens are immediately revoked and deleted. Collections
data may be retained for reporting purposes unless you request its deletion.
